Variations and claims software: change orders, EOT and notices on time

ConstructINS is software for variations and claims: one register holds every variation, change order, claim, extension of time and notice with its value, days and status, and each delay reported from site is classified under FIDIC 2017 — employer, neutral or contractor risk — with the 28-day notice clock running. It is for contracts and commercial teams in Egypt, Saudi Arabia, the UAE and the GCC, in Arabic and English. The agents draft notices; a person sends them.

How ConstructINS manages variations and claims

  1. One change registerVariations, claims, extensions of time and notices, each with its value, days and status — uploaded from Excel, or read from a scanned variation order.
  2. Every delay classified firstEach blocked activity is classified under the FIDIC 2017 Red Book as employer risk (late drawings, instructions, access, late payment), neutral (exceptional weather, authorities, force majeure, change in law) or contractor risk — before anything is drafted.
  3. The clocks keptThe 28-day notice of claim (20.2.1), the fully detailed claim at 84 days (20.2.4) and the Engineer’s 42 days to agree or determine (3.7.3).
  4. Unpriced change foundA drawing revised after pricing with no variation naming it is flagged as a possible unpriced change.
  5. Draft, then a person sendsA notice is drafted for employer and neutral events; a contractor-risk event gets a recovery recommendation instead, and an unclear one goes to the project manager to confirm. Contract positions stay with a qualified person.
  6. Into cost and marginApproved and pending variations flow into the forecast final value and the margin.

Set up in your pilot

In Egypt, Saudi Arabia, the UAE and the GCC

Egypt

FIDIC and Law 182 contracts, with Law 182’s delay-penalty caps known, and notices and letters drafted in Arabic or English.

Saudi Arabia

FIDIC-based contracts on Saudi projects get the same 2017 clause logic, in Arabic and English, and Saudi Government Tenders and Procurement Law terms are set up in the pilot.

UAE and the GCC

The same FIDIC 2017 clause logic for UAE and GCC projects, with letters in English or Arabic, and UAE contract law terms set up in the pilot.

How to choose

  • Classifies before it notifiesNotifying an event that is your own risk puts it in writing against you.
  • Keeps the contractual clocksNotice, detailed claim and determination periods counted from the event.
  • Finds unpriced changeRevised drawings without a variation are where margin quietly leaks.
  • Linked to cost and the scheduleA variation should move the forecast final value; a delay event should move the finish.
  • A person sendsDrafts are prepared; notices and letters go out when a person sends them.

Frequently asked questions

What is the difference between a variation and a claim?

A variation (change order) is an instructed change to the works, valued under the contract. A claim is the contractor’s request for more time or money for an event the contract entitles it to, such as an employer delay.

What is the FIDIC 2017 notice period for a claim?

28 days after the contractor became aware of the event (sub-clause 20.2.1), with the fully detailed claim within 84 days (20.2.4).

What is an extension of time (مد المدة)?

More time to complete, granted when a delay is the employer’s risk or a neutral event under the contract. ConstructINS classifies each delay before a notice is drafted.

Does it write claim letters?

Yes. It drafts notices and letters for review, and a person sends them.

Does it support FIDIC 1999?

Yes. The clause reader maps the 1999 numbering to 2017 (delay damages moved from 8.7 to 8.8, for example), and the delay classification follows the 2017 Red Book.

Does it work in Arabic?

Yes. Every screen, report and export works in Arabic, right to left, and in English. Ask ConstructINS answers in Egyptian Arabic, and site teams can type, speak or photograph what they record.
